but what if it took soras heart/soul over a year to actually journey into quadratum. He himself wouldnt have aged but others may have slightly

with Riku pinging his way into quadratum it could be a similar scenario. Retain appearance, but what feels instant to him was really long to everyone else

Strel only says Sora arrived, not how long it took for the trip

and we also got to figure out how much time passed technically speaking for Riku before he made the jump to quadratum.

At the very minimum it would have been 7days because he needed to connect to sora who was in quadratum, but I doubt they did all that in 1 week simply because how kh3 ends, then merlins house with soras data in limitcut, and then going into KH MoM for kairis memory. So at basis Sora would have been gone in my opinion at the very least 1 month.
